This feature can be very usefull and a real timesaver when your documentum system contains for example document objects that include part numbers or equipment tag numbers and you want to retrieve a list of available information/documentation.
At Documentum repository level, you can load a configuration file for the spreasheet lookup that you can use to define on which documentum objects or registered tables your users will be allowed to run Spreadsheet lookups.
In this short article we will give you a step by step overview of the Spreadsheet Lookup feature.
Step 1: Load the spreadsheet into the spreadsheet lookup:
Step 2: Determine the object type or registered table you want to use for searching the lookup data:
Step 3: Map the columns found in your spreadsheet to Documentum attributes:
Step 4: Review and/or customize the lookup query:
By customizing the lookup query, you can for example use the data from your spreadsheet to run keyword searches in your fulltext index (xPlore).
Just add for example:
SEARCH DOCUMENT CONTAINS '{fulltextkeyword}'
after your FROM table phrase. This example assumes your spreadsheet contains a column with title: fulltextkeyword
You can use any of the columns from your spreadsheet here.
Step 5: Run your spreadsheet lookup:
Step 6: After you have run your lookup, save your results to an Excel file:
Step 7: You can use the lookup result grid to view for example the documents using the right-click menu (requires the r_object_id column to be selected for the results of your lookup):
